Important Distinction
This Privacy Policy is organized into sections that distinguish between our public website and free tools, the Orwellix Readability Checker browser extension, our registered application, affiliate program, and general privacy provisions.
Applies to visitors of orwellix.com and users of our free readability checkers, generators, marketing tools, and browser extension who have not created an account.
1. Client-Side Processing
Our public website free tools (including the Readability Analyzer and various text generators) operate using a "Client-Side Only" architecture. This means:
- All text analysis happens locally within your browser's memory.
- Your text is never sent to our servers or stored in any database.
- Once you close the tab, your data is completely wiped from memory.
2. Data Collection (Free Users)
We collect minimal anonymous data to maintain site performance:
- Usage Analytics: We use PostHog to track anonymous page views and feature usage counts. No personally identifiable information (PII) is attached to these events.
- Local Storage: We may use your browser's local storage to save temporary preferences (e.g., dark mode toggle).
- Security & Rate Limiting: We temporarily log IP addresses and timestamps to enforce our fair usage policy (10 free uses per day) and prevent system abuse. This data is stored securely in a local JSON registry and is used solely for security purposes.
3. Browser Extension: Orwellix Readability Checker
The Orwellix Readability Checker browser extension lets users manually enter or paste text into the extension popup to receive readability analysis.
3.1 Text You Submit
When you use the extension, the text you submit is sent to Orwellix servers solely to generate readability results, including readability grade level, hard-to-read sentence detection, and writing style issue detection such as adverbs, qualifiers, and passive voice.
3.2 What the Extension Does Not Access
The extension only analyzes text that you manually enter into the extension popup. It does not:
- Automatically read webpage content.
- Collect browsing history.
- Collect passwords or authentication credentials.
- Automatically read emails, messages, or documents.
3.3 Technical Data for Security and Usage Limits
To protect the service from abuse and enforce free usage limits, we may process technical data such as IP address, browser user-agent, extension session tokens, request timestamps, and daily usage counts or checks remaining. This data is used for security, rate limiting, abuse prevention, and service reliability.
3.4 Local Extension Storage
The extension stores limited data locally in your browser using browser-provided extension storage, including extension session information and remaining daily check usage. This helps display usage status and reduce unnecessary server requests.
3.5 Data Use Limitations
We do not sell extension data. We do not use text submitted through the extension for advertising, creditworthiness, or unrelated purposes.
Applies to users who have created an account and use the full Orwellix Writing App (Free, Pro, or Premium plans).
4. Information We Collect
To provide our specialized writing and analysis services, we must collect and process the following:
4.1 Account Information
- Identity Data: Name, Email address, Nickname, Profile Picture, and Bio.
- Security Data: Hashed passwords and Multi-Factor Authentication (MFA) settings.
4.2 User Content
- Documents: The text you write or upload is stored securely in our encrypted database (MongoDB) to allow you to access it across devices.
- Chat History: Conversations with the AI Assistant are stored to provide context for future interactions.
4.3 Payment Information
- We do not store full credit card numbers. All payments are processed by our secure Merchant of Record, Lemon Squeezy.
- We store billing addresses and transaction IDs for tax compliance and invoice generation.
- Free Trial: When you start a 7-day free trial, your credit card information is collected and stored securely by Lemon Squeezy. You will not be charged during the trial period. After 7 days, your card will be automatically charged unless you cancel before the trial ends.
5. How We Process Data (AI & Third Parties)
The registered application uses advanced cloud technologies to provide features like grammar checking, style improvements, and AI chat.
5.1 AI Service Providers
When you use our advanced AI features, your text is securely transmitted to our trusted AI partners for processing. We utilize both of the following enterprise-grade providers to power our Large Language Models (LLMs) usage:
- Google Vertex AI: Primarily powers the AI Assistant's "Ask Mode" and "Agent Mode" for complex reasoning, planning, editing the documents and web searching.
- AWS Bedrock: Powers specialized "Smart Editing" tools, including our one-click Passive Voice to Active Voice converter, and serves as an alternative backend for Agent reasoning.
Privacy Commitment: We have stricter enterprise agreements with both Google and AWS to ensure that your data is NOT used to train their public models. Your text is used solely for inference (processing your request) and is transient.
5.2 Analytics & Infrastructure
- PostHog: For analyzing product usage patterns to improve user experience.
- MongoDB Atlas: For secure, encrypted database storage.
Applies to individuals who have applied for or been approved into the Orwellix Affiliate Program. Affiliate accounts are entirely separate from user accounts.
6. Data We Collect from Affiliates
To operate the affiliate program, we collect and process the following data:
6.1 Application & Identity Data
- Name and email address provided during the application.
- Promotional channels (website URLs, social handles, newsletter info) described in your application.
- PayPal email address used to process commission payouts.
6.2 Referral Tracking Data
- Referral cookie: When a visitor arrives at orwellix.com via an affiliate link, we set a first-party cookie on that visitor's browser containing the affiliate's referral code. This cookie expires after 15 days and is used solely to credit the affiliate if the visitor subscribes.
- Click tracking: We record a click event when a visitor lands via an affiliate link, including a timestamp and the referral code. No personally identifiable visitor data is stored at the click stage.
- Conversion tracking: If a referred visitor signs up and subscribes, we associate that subscription with the referring affiliate's account to calculate and record the commission owed.
6.3 Payout & Performance Data
- Commission history, payout amounts, PayPal transaction IDs, and payout dates are stored in your affiliate account and retained for tax and audit purposes.
- Aggregate performance statistics (clicks, sign-ups, conversion rates) are displayed in your affiliate portal dashboard.
7. How We Use Affiliate Data
- To calculate, hold, and process commission payments.
- To send automated notifications (approval, rejection, payout confirmations, monthly performance reports).
- To detect and prevent fraudulent referrals or self-referrals.
- To comply with tax reporting obligations.
Visitor Privacy: Visitors who arrive via affiliate links are subject to this same Privacy Policy. The referral cookie does not collect any browsing history, personal data, or device fingerprints, it stores only the affiliate code needed for attribution.
8. Data Security
We implement enterprise-grade security measures:
- Encryption: All data is encrypted in transit (TLS 1.3) and at rest (AES-256).
- Access Control: We support Multi-Factor Authentication (MFA) for all user accounts.
- Strict Access: Orwellix employees do not access user documents unless explicitly required for support cases initiated by you.
9. Your Rights
Regardless of your location, we extend GDPR/CCPA rights to all users:
- Right to Access: You can view all your stored documents in your dashboard.
- Right to Delete: You can delete documents or your entire account at any time. Deleted data is permanently purged from our active databases immediately.
- Export: You can export your documents to standard formats (DOCX, PDF, MD) at any time.
